Pamela Jane Photography – Code of Conduct
The Photographer has created this Code of Conduct to give The Client piece of mind when The Photographer is working with newborns and children (Minors).
1. PARENT / GUARDIAN PERMISSION
The Photographer will always have the permission of one parent/guardian of the Minor(s) involved in a photoshoot, before any photographs are taken. This permission will constitute as an agreement by both of the parent/guardians of the Minor(s) involved, and is made at the time of signing the Booking Form.
2. PARENT / GUARDIAN ATTENDANCE
The Photographer will always have in attendance of a photoshoot with Minor(s) at least one of the parent/guardian(s) of that Minor.
The Photographer understands that not all photoshoots will be able to have two parent/guardians present at the photoshoot. A relative or friend is able to chaperone or watch the photoshoot if the parent/guardian so wishes.
2.2. IF A PARENT/GUARDIAN LEAVES THE ROOM
If the parent/guardian leaves the room whilst the photoshoot is underway, and The Photographer is alone with the Minor;
For newborn Minors The Photographer will pause the photoshoot whilst the parent/guardian is out of the room. The Photographer will cover the newborn in a blanket to keep them warm and step back from the photoshoot till the parent/guardian(s) is back in the room. The Photographer will keep an eye on the newborn for any signs of distress and notify the parent/guardian of anything of concern.
For Minors older than 1 year old and where the Minor is moving around The Client’s home (parent/guardian) if the Minor’s safety is at risk, with use of common sense, The Photographer may step in to stop any injury to the Minor. E.G. if a Minor is walking/crawling into any sharp objects/furniture or picking up items of concern and putting into their mouth.
The Client understands that this is by no means a guaranteed action and that the child’s safety is always primarily in the hands of the parent/guardian and they are clear on this before they leave the room where the photoshoot is underway.
3. HEALTH AND SAFETY
3.1 DISCLOSURE AND BARRING SERVICE (formally CRB) CERTIFICATE
The Photographer holds an up-to-date DBS certificate. The Photographer will present a scan or photograph of this certificate if a Client wishes.
3.2 NON SMOKER
The Photographer does not smoke.
4. NEWBORN SAFETY AWARENESS
The Photographer always puts the safety of the Minor first. The Photographer has completed safety awareness courses online through BANPAS (Baby and Newborn Photographers Association). This association puts newborn safety first and provides free content on safety for newborn photographers, and their parents/guardians. The Photographer is a paying member of BANPAS and keeps up to date with latest courses and information. Parents/guardians can find out more about this site here:
4.2 SPOTTING The Photographer will always discuss the poses and positions involved in the planned photoshoot before implementing. The Photographer will always ask a parent/guardian or relative chaperone to ‘spot’ the newborn at all times (be close to the newborn and ready to support the newborn if they move or are at risk of rolling).
4.3 CIRCULATION / DISTRESS
The Photographer will always check for any signs of circulation issues of a newborn or a baby in all positions used in the photoshoot, checking the hands and feet are a healthy colour. If there are any signs the Minor is in distress, the photoshoot will be paused and the Minor held/nursed/checked over by the parent/guardian. The Photographer will adapt the photoshoot to the needs of the Minor, and subsequently change or eliminate any positions where the Minor may be in any discomfort.
4.4 WRAPPING / CLOTHING
The Photographer will photograph newborns and babies in nappies / bloomers / wraps / swaddles / clothing. All items will be agreed by the parent/guardian. The Photographer can fit wraps and swaddles in accordance with newborn safety awareness (see section 4.1) and can talk the parent/guardian through this if the parent/guardian does not want The Photographer to fit these items.
The Photographer will wash all fabric items in non-bio, sensitive detergent and baby-safe, sensitive softener. These will be in their own, separate wash, before every newborn photoshoot.
The Photographer will always ask the parent/guardian in attendance of the shoot to check the newborn/baby hands and feet for any threads/fibres that may have come loose from the clothing/wrapping or any blankets used in the photoshoot.
4.5 POSING BEANBAG AND PROPS
The Photographer will check any posing beanbags or pillows for any signs of rips or tears every week, and before every photoshoot, for any signs of polystyrene or padding escaping from the beanbag/cushions. Any rips or tears will be fixed and re-checked before any photoshoot.
The Photographer will steam clean/clean in washing machine any plush props for use with newborns that are able to be cleaned in this manner. Antibacterial sprays or wipes will be used on other items not suitable for the above processes.
5. THE PHOTOGRAPHS
The Photographer will only do photographs of newborns in the nude on rare occasions at specific request of the parent/guardian. The Photographer will photograph newborns and babies in nappies / bloomers / wraps / swaddles / clothing. See point 4.4 above.
5.2 USE OF PHOTOGRAPHS
The Photographer will only ever use the photographs in accordance with a signed and dated Model Agreement form in which the parent/guardian opts-in for various uses of the photographs online and offline by The Photographer.
6. PERSONAL INFORMATION OF MINORS
As a general practice, The Photographer will never use any names of Minor(s) anywhere alongside photographs of that Minor(s).
The Photographer will never combine any Minor(s) full name with any photographs including that Minor(s).
The Photographer may use the parent/guardian(s) first names or surnames (never together) in photograph titles and/or online client galleries, in relation to photographs that include Minor(s) unless requested not to.
6.2 SOCIAL MEDIA
In accordance with the signed and dated Model Agreement form signed by the parent/guardian, The Photographer will only share the photographs on social media platforms if the parent/guardian has consented to this.
If the parent/guardian has supplied profile names and agrees for the photographs posted to be ‘tagged’ or ‘shared’ with them, the parent/guardian takes full responsibility for this, and frees The Photographer from any and all issues arising from the action of posting, tagging and sharing the photographs on social media.
